This module allows you to set reminders and manage your own personal “to-do” list as well as those of your linked Employees. Notifications are sent on the requested days which allows for refined management.
1) Create an Action / Task
Navigate to the Action Manager button on your dashboard.
Select add to create a task.
Fill in the required fields.
Note: Actions can only be assigned to Employees that are linked to your company. It is also not mandatory to upload a document.
Once complete select the save button.
A notification will be sent to the specified user of the action that has been requested.
Note: The specified user will not receive a notification. All new notifications will be displayed in their notification bar, whereby this can be managed by the specified user.
2) View Tasks Created by yourself
To view any tasks that you have sent to someone else to complete, you are able to view them under the “Tasks created by me” section.
Select the view button to see the details of the task requested.
Should you need to transfer the task to another individual, select the transfer button.
Using the dropdown selection available, you will be required to select the individual that needs to receive the task.
When you are complete, select save.
The name of the task “assigned to” will automatically be updated to the individual that you have transferred the task to.
If you need to completely delete a task from an individual’s “Action Manager” task, select the delete button.
It will be deleted from your tasks as well as the selected individual’s tasks.
3) Assign a task in “People Manager”
When viewing an individual’s profile, you can assign a task to a selected individual by selecting the add action button.
Fill in the required fields and when you are complete, select save.
4) Assign a task in “Project Compliance”
When opening a specific project, should you need to add a task to a Service Providers SHE File that needs to be completed internally or by the Service Provider themselves, select he add task button.
Here you will be able to select the User type, being Internal users (Own Users) or Service Provider users (SP Users)
Fill in the remaining details.
When you are complete select save.
5) Assign a task in “Meeting Manager”
Once a meeting has been started, you can assign tasks to specific individuals, by selecting the task button that appears next to your list of attendees.
Fill in the required fields and select save.
6) View Notifications
To view your notifications, select the bell icon and all your notifications will be displayed accordingly.
If you would like to clear out your notification bar, select “Clear Notifications”
Should you require a more detailed view of any actions assigned to you, navigate to “Action Manager” on your dashboard.
Your list of tasks will be displayed as below.
Take note that once a task opened, you will be able to manage the status of the task at hand.
Select the view button.
The action details will be displayed for you to view accordingly.
Here, you can download any supporting attachments that have previously been added to the task by selecting the “Download Attachment” button.
Note: You will have the option to edit the due date should it be deemed necessary, by selecting the calendar button.
At the dropdown selection available under the “Status” column, there are various options available to choose from.
Note: when you have selected the “Completed” option, you will be required to upload any supporting documentation to support the action taken. You will also be required to add any final comments to the task.
To delete an individual task in your task bar, highlight the applicable task and select the delete button.
The task will no longer be displayed or viewable.
7) Approve Documents within Action Manager
Navigate to “Action Manager” on your dashboard.
Your listed documents pending your approval will be displayed in a grid format as displayed below:
To view the applicable document, select the view button.
When the document opens, you will be able to reject or approve the document as required by simply selecting the applicable button.
Note: As you work through the documents for validation, the document line item will be removed from your list of documents for approval as you have completed the action.
